Consistent file naming helps everyone at Greens find information quickly and keeps our digital workspace organized. When all team members follow the same naming convention, files automatically sort by date, making it easy to locate the most recent versions. This standard eliminates confusion and saves valuable time across all departments.

Steps
How to name your files
- Start with the date in YYYY-MM-DD format:
- YYYY = four-digit year (2024, not 24)
- MM = two-digit month (01 for January, not 1)
- DD = two-digit day (06 for the 6th, not 6)
- Add a space, hyphen, and another space after the date
- Type your descriptive filename using clear, specific words
- Save with the appropriate file extension (.pdf, .xlsx, .docx, etc.)
Example: An incident report created on January 6, 2024 should be named: 2024-01-06 - Incident Report.pdf
Rules and exceptions
- Always use hyphens between date elements (2024-01-06, not 2024/01/06 or 20240106 ot 2024.01.06)
- Always include the spaces around the hyphen between date and filename
- Use descriptive filenames that clearly indicate the content
- Avoid special characters in filenames (/, \, :, *, ?, ", <, >, |)
- When naming files with versions, add v1, v2, etc. at the end: "2024-01-06 - Budget Report v2.xlsx"
