Why this exists
Team members frequently need to verify their employment and income with Greens — for example, when applying for a mortgage, leasing an apartment, financing a vehicle, or applying for government benefits. To protect employee privacy, ensure accuracy, and provide a fast, consistent response to these requests, Greens uses an authorized third-party verification service rather than handling requests manually. This SOP explains how current and former team members, as well as authorized verifiers, can complete an employment or income verification.
Who does what
- Human Resources Manager — Owns this SOP, answers team member questions about the verification process, and escalates issues that cannot be resolved through The Work Number.
- Corporate HR — Maintains the relationship with Equifax/The Work Number, ensures payroll data flows correctly into the system, and supports HR Managers with troubleshooting.
- All Team Members — Direct verifiers (lenders, landlords, agencies) to The Work Number and provide the Greens Employer Code when needed.
Steps
- Direct the verifier to The Work Number. Whenever a team member needs proof of employment or income, instruct the requesting party (lender, landlord, agency, etc.) to use Equifax's The Work Number — Greens' authorized automated verification service.
- Online: www.theworknumber.com
- Phone: 866-604-6572
- Provide the Greens Employer Code. When prompted by The Work Number, the verifier should enter Employer Code 110422. This routes the request to Greens' records.
- Team member authorization (income verifications only). Basic employment verifications (job title, dates of employment) can be completed without team member action. To release income information, the team member must generate a one-time salary key through The Work Number and provide it to the verifier.
- Reference the ADP flyer for additional guidance. For step-by-step screenshots and additional details, see the ADP Employment Verification Flyer.
- Escalate exceptions to HR. If a verifier reports they cannot complete the request through The Work Number, refer them to the Human Resources Manager at the property for assistance.
Rules and exceptions
- All employment and income verifications must be processed through The Work Number. Do not provide written or verbal verifications directly, as this protects both the team member's privacy and the company from liability.
- The Work Number covers both current and former team members. Records remain accessible after separation.
- Income information is never released without the team member's authorization via a salary key.
- Government agencies (such as Social Security or unemployment offices) may have direct access through The Work Number's social services portal and do not require a salary key.
